Structured exit lifecycle — resignation to settlement
Employee submits ExitRequest via the self-service portal (or HR initiates). System records notice start date, expected last day, exit reason, and exit type (voluntary / involuntary / retirement). Full lifecycle tracked: PENDING → NOTICE_PERIOD → CLEARANCE → FNF_PROCESSING → SETTLED.
Multi-department clearance tasks
Clearance task checklist dispatched automatically to IT (device recovery, access revocation), Admin (asset return, visitor card), Finance (loan settlement, advance recovery), and HR (document handover, KYC archive). Each department marks tasks complete in StaffSyncHR — no email chasing.
ExitRecoveryLedger — asset and loan tracking
All company assets issued via EmployeeAsset records appear in the ExitRecoveryLedger at exit. Pending loan balances and salary advances also listed. The FnF settlement cannot be finalised until all recovery items are resolved (returned, waived, or deducted from FnF).
FnF computation — prorated pay, leave encashment, gratuity
FnF engine computes: prorated salary for partial last month, pending leave encashment (eligible balance × daily rate), gratuity (5-year rule per Payment of Gratuity Act), notice period shortfall or buyout, and any asset/loan recovery amounts. All line items itemised in the FnF slip.
Notice period and buyout management
Notice period days tracked from resignation date. If employee exits early, notice shortfall amount calculated and deducted in FnF. If employee serves additional days beyond notice, those days are added. Management can approve notice buyout with a comment — recorded in FnF audit trail.
Digital FnF settlement slip
Once all clearances are complete and FnF is approved, a digital FnF settlement slip is generated from the HR letter template and shared with the exiting employee. Immutable record retained in the system — accessible to statutory auditors. Relieving letter generated simultaneously.
